Who we are

Our website address is: https://www.csmwebdesign.com.

Contacting businesses about our services

We sometimes contact local businesses to introduce our web design services.

What we use: the business name, trading address, phone number and business email address, as published on the business’s own website, its Google Business Profile or the Companies House register, plus publicly visible facts about its website and Google listing (for example, whether the site works well on phones).

Why: our legitimate interest in telling local businesses about services that could help them. We only email limited companies and LLPs, at a business address they publish themselves. We don’t cold-email sole traders or individuals.

How long we keep it: if we don’t contact you, your details are deleted within 30 days of being found. For newly registered companies we keep only the public register details (company name, number, type, date, trade and town) for up to 90 days while we wait for a website to appear. If we contact you and nothing comes of it, your details are deleted 12 months after our last contact.

Website concepts: our first email may link to a private concept of what your website could look like, made from the words and photos on your current website and your public Google reviews. It isn’t listed anywhere and is taken down once it’s no longer needed (normally 30 days after we send it). When it’s opened we record that it was opened, roughly how long it was on screen, how far down it was read, which buttons were pressed and the type of device (for example ‘iPhone’). We don’t use cookies on it or record who opened it, and this is deleted with the concept.

Your choice: reply “no thanks” to any email, or write to hello@csmwebdesign.com, and we’ll stop straight away. We keep only a fingerprint of your details so you’re never contacted again. You can also ask what we hold about you, or ask us to delete it. If you’re unhappy with how we’ve handled your data, you can complain to the Information Commissioner’s Office at ico.org.uk.

What personal data we collect and why we collect it

Free website health check

When you ask for a free website check on our website, we collect your name, email address, phone number (if you give it) and your website’s address, and record that you agreed. We use them to check your website, send you the report and follow up about it once. We do this with your consent, which you can withdraw at any time by replying to our email or writing to hello@csmwebdesign.com.

Your details are moved from our website to our own reporting system within a few minutes and removed from the website. Your report page isn’t listed anywhere and is deleted after 30 days. We keep your details and the results for up to 12 months, then delete them. To stop the form being misused we keep a scrambled (hashed) version of your IP address for one day.

Comments

When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.

An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.

Media

If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

Cookies

If you leave a comment on our site you may opt in to saving your name, email address and website in cookies. These are for your convenience so that you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

If you visit our login page, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. Who we share your data with

How long we retain your data

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.

For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

What rights you have over your data

If you have an account on this site, or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

Where we send your data

Visitor comments may be checked through an automated spam detection service.
